P11D 2018.2.1 has been released! – What’s new?
Pegasus have recently released Pegasus P11D Organiser 2018 2.1. This new update addresses and legislative and software changes required since May 2017 and includes other software enhancements. This update will appear on user workstations via a live web service, when the update alert occurs on your screen you should accept the update.

Legislative Changes
In readiness for the 2018/2019 tax year:
- The company car fuel multiplier has increased from £22,600 to £23,400
- Diesel supplement has increased from 3% to 4% for all diesel cars not certified to the Real Driving Emissions 2 (RDE2) standard
- Set company car appropriate percentages have changed to 13% for cars with CO2 emissions of 0-50g/km. All other rates have increased by 2% reaching the maximum of 37% for emissions of 180g/km or more (excluding Diesels – not RDE2 – which is reached by 160g/km due to supplements)
- Revision to System Admin. functionality within a user’s profile to provide functionality to delete and purge tax year data to comply with General Data Protection Regulations (GDPR) when beyond the required data retention period.
- Deleted areas include: Data files, Filing by Internet Submission Data and XML documents, Importing Records and Logs and Exported Data located in default location.
- Backup files and information stored external to the default system locations will NOT be deleted.
Vans: Changes for vans for 2018?19
- Van benefit charge has increased from £3,230 to £3,350
- Van fuel benefit charge has increased from £610 to £632

PRIVACY NOTICE
We are committed to ensuring that your privacy is protected in accordance with the law, and all personal data shall be held and used in accordance with the UK laws relating to data protection and privacy.

The personal data we collect
Personal data means any information about an individual from which that person can be identified. We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
• Identity Data includes first name, last name, & title.
• Contact Data includes address (home, postal or other physical address), email address and telephone numbers.
• Financial Data includes Company bank account.
• Transaction Data includes details about payments to and from you and other details of products and services you have purchased from us.
• Technical Data includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access your systems for legitimate support purposes.
• Usage Data includes information about how you use our website, products and services.
Personal data does not include data where your identity has been removed or which not associated with or linked to your personal data (anonymous data).
Please note that where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with products or services that you request). In this case, we may have to cancel a service you have requested but we will notify you if this is the case at the time.
How we collect personal data
We use different methods to collect data from and about you including through:
• Direct interactions. You may give us your Identity, Contact and Financial Data by filling in forms or by corresponding with us by post, phone, email, via our website or otherwise.
• Third parties or publicly available sources. We may receive personal data about you from various third parties and public sources as set out below:
o E.G. Contact, Financial and Transaction Data from providers of technical, payment and delivery services based inside the EU, Identity and Contact Data from publicly availably sources such as Companies House and the Electoral Register based inside the EU.
How we use personal data
We will only use your personal data when the law allows us to. We may collect and process the personal data about you for the following purposes:
• Ordering our products and services – we will use your Identity, Contact, Financial and Transaction Data in order to register you as a customer and to process and deliver products and services to you, including the management of payments, fees and charges. This is necessary for the purpose of performing our contract with you.
• Contacting us – when you contact us with an enquiry or to request information, we will use your Identity and Contact Data to respond to you.
• Advertising, marketing and public relations – we may use your Identity, Contact, Technical, Usage and/or Profile Data to form a view on what we think you may want or need, or what may be of interest to you and in doing so we will only send you information that is deemed relevant to your use of our products and services. This is necessary for our legitimate interests in growing and developing our business including our products and services. You will receive marketing communications from us if you have requested information from us or purchased products or services from us and, in each case, you have not opted out of receiving that marketing. We will however get your express opt-in consent before we share your personal data with any company outside the Profile Group for marketing purposes. You can ask us to stop sending marketing communications at any time by contacting us.
• Fault reporting – if you contact us to report a fault with our website, we will use the Identity and Contact Data provided for the purposes of rectifying that fault in accordance with our legitimate interests.
• Recruitment – personal data provided for an employment opportunity will be processed so as to allow us to process and evaluate the merits of that application in accordance with our legitimate interests.
• Administration – we may use your Identity, Contact and Technical Data for the purpose of protecting our business and our website, including troubleshooting, data analysis, testing, system maintenance, support, reporting and hosting of data. This is necessary for our legitimate interest in for running our business, the provision of administration and IT services, network security, to prevent fraud and in the context of a business reorganisation or group restructuring exercise, and for compliance with our legal obligations.
• Website Analytics – as you navigate our website, Technical and Usage Data may be collected automatically. We do this to find out things such as the number of visitors to the various parts of the website, and to help us to improve the content of the website and to customise the content or layout of the website for you, in accordance with our legitimate interests. This is necessary for our legitimate interest in defining types of customers for our products and services, to keep our website updated and relevant, to develop our business and to inform our marketing strategy.
We may also use personal data which you provide to us, where the law allows us to do so, as follows:
• To deal with and/or respond to any enquiry or request made by you prior to entering into any contract or agreement with us or as a result of such contract or agreement.
• Where we need to perform the contract we are about to enter into or have entered into with you.
• Where we need to comply with a legal or regulatory obligation, including the prevention of crime.
• Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.
Disclosure of Personal Data to Third Parties
Your personal data will only be disclosed to relevant Profile Group employees that have a need for such access for the purpose for which it was collected. Your personal data will not disclosed to any other individuals or other entities except in the following circumstances:
• On occasion, we need to hire other companies to help us to serve you better and in some of these cases we may need to share personal data that is necessary to perform tasks for us, such as market research or issuing marketing materials or Suppliers/Partners providing add-on products and services.
• Where it is necessary for the performance of our contract with you, including where you have asked us to do so or where we need to take steps to enforce any contract which may be entered into between us.
• Where we are under a legal duty to do so in order to comply with any legal obligation.
• In order to protect the rights, property or safety of the Profile Group, our employees and others. This includes exchanging information with other companies and organisations for the purposes of fraud prevention and credit risk reduction.
• If we or substantially all of our assets are acquired by a third party, in which case personal data that we hold about our customers will be one of the transferred assets.
We require all third parties that process personal data on our behalf to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
Security
We are committed to ensuring that your personal data is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the personal data we collect. In addition, the access to and use of the personal data that we collect is restricted to our employees who need the personal data to perform a specific job role or activity. Where personal data is shared with third parties in line with this policy responsible measures are used to protect your personal data.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
The transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website; any transmission is at your own risk. Once we have received your personal data, we will use strict procedures and security features to try to prevent unauthorised access. We urge you to take every precaution to protect your personal data when you are on the internet.
Your personal data will be held and processed on secure servers located in the UK and we will not transfer any of your personal data outside of European Economic Area.
Data Retention
We will retain your personal data for as long as is necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. For example we will retain details of your customer order, including your personal data, for a period of 7 years to enable us to deal with any follow-up communications from you or to ensure that we are in possession of all relevant papers in the event of a legal claim relating to the contract between us.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.
In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

Your Rights
You have the right to:

We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
Telephone Call Recording – Privacy Notice
Calls may be recorded for training and monitoring purposes. Routine telephone conversations will not be kept for longer than 31 days. However, on occasions there may be a need to keep recordings for longer, for example, when further investigation is required into the matter being raised, or where there is a situation that may have caused distress or alarm to the organisation or our employees. If the recording is available, you can request a copy of your conversation by contacting our DPO as per the Data Protection Act.

Welcome to the March 2018 edition of @Profile, your quarterly insight into the latest IT and legislative news and updates. It’s finally Spring and Payroll Year End is nearly upon us, we’ve prepared a simple ‘what’s new?’ guide for Payroll Year End changes, a re-cap of why it’s important for Opera II users to start thinking about Opera 3 now, and some information about what features Pegasus WebXchange add to Opera 3 and why you might be missing out. Opera II to Opera 3, act now!
In 2017 we partnered with Pegasus to announce that Pegasus Opera II would not be updated to support the Making Tax Digital legislative requirements or the 2018/2019 payroll end of year, which will make Opera II outdated and unusable by April 2019. A year ago we warned our customers who were still using Opera II that the writing was on the wall and that the time was coming where they would need to upgrade to supported software, specifically Pegasus Opera 3 which is Pegasus’ current flagship product. That time is now!
Since then we have held seminars across the country with information on GDPR, Making Tax Digital and Opera 3 and the response from those who attended was very positive, but we still have some users who have not contacted us to upgrade yet and are still using Opera II. We cannot stress the importance of upgrading from Opera II any more and it is imperative that you speak with your Account Manager about your opgrade options as Opera II will not meet legislative requirements and it will have serious implications for your business if you do not act now.

Payroll Year End – What’s new?
The end of the tax year is upon us and with it comes the new Payroll changes that will affect you and your business in 2018/19. If you’ve not had a chance to read up on the changes then please read our summary below.
- Personal Allowance increase – The standard personal allowance will increase this year from £11,500 to £11,850 which will be reflected in the new standard 1185L tax code for employees.
- National Minimum Wage increase – From April 2018 the National Minimum Wage for over 25s is increasing from £7.50 to £7.83, for 24-21 year olds it is increasing from £7.05 to £7.38 and for 18-20 year olds it is increasing from £5.60 to £5.90.
- Higher Income Tax Threshold increase – Currently anyone who earns £45,000 or more a year is taxed at the higher 40% rate, from April 6th the threshold will be 46,350.
- Student Loan Threshold increase – The earnings thresholds for those who are repaying student loans have increased, people with a Plan 1 loan won’t start paying back until they earn £18,330 (currently £17,775) and those with a Plan 2 loan will start at £25,000 (increased from £21,000)
- Lowered Dividend allowance – For those who work via a limited company, the divident allowance is being reduced from £5000 to £2000.
- Company Car changes – There are changes being made that will affect people who own a company car, Benefit In Kind tax rates are increasing based on Co2 emissions and the Diesel Supplement rate paid will be increased from 3% to 4%.

New Opera 3 GDPR feature – Personal Data Search Utility
As you will have seen in our communcations over the last year, GDPR is coming and it demands attention! GDPR regulation affects everyone who holds personal data on EU citizens and businesses must be able to prove that they are holding personal data in a secure manner, and you are also legally required to be able to provide a copy of all the personal data you hold on a person if they request it. Pegasus have released a new function available for Opera 3 that makes producing this data easy!
Using the new Personal Data Search utility’s search function you can quickly search the entire Opera 3 database for personal information you hold on a person and then extract it to excel using the same tool. Being GDPR compliant is now much simpler than before.
Pegasus are hosting Personal Data Search introduction webinars on March 29th, April 6th and April 12th that will show the new module’s features in detail, hosted by Pegasus product expert Steve Power. If you are interested in attending these webinars, please get in touch.

Are you taking advantage of Pegasus WebXchange with Opera 3?
Opera 3 has such a wide range of functions and features that you would be forgiven if you were not using the software to its full potential, at Profile we have had a think about what key features our customers might be missing out on and decided that the Pegasus WebXchange add on for Opera 3 contains far too many useful features for you to not be aware of it!
Pegasus Web Xchange for Opera 3 adds some great online-only features to Payroll via an online portal, Payroll Self-Service gives your employees access to their payslips and P60s (current and historical) and lets them view the information that you currently hold on them including holiday allowance. Timsheet submissions means that your employees who are paid via a timesheet can submit them via the PWX portal and have them approved too.
The Pegasus Mobile Sales app for android tablets puts Opera 3 into the hands of your sales team, by using Pegasus WebXchange to connect directly to the Opera 3 database users have access to live stock data and are able to browse products, create an order (taking into account individual customers agreed discounts and credit limits) and submit it to be approved right in front of the customer. Putting more power in the hands of your sales team means that they spend less time at home after a day on the road submitting orders and lowers the chances of disapppointed customers when a product they’ve already agreed to buy is out of stock or they don’t have the credit on their account to place an order.

It’s Christmas (nearly) and there’s no better time to reflect on the year 2017 than right now! If you’ve been reading the @Profile quarterly newsletters (if not you could be on Santa’s naughty list) then you’ll know we’ve shared a lot of key information and kept you informed on the latest updates & changes and even shared some insights from our Profile Engineers. In this edition of @Profile we will be recapping the most important news with links to anything you may have missed from our communication & our newsletters from 2017, and will also be informing you of our Christmas opening times, including when our Systemcare Support will be available during the festive break. Let’s dive right in!

2017 – A Year in Review
2017 has been a great year for us here at Profile and we all hope that all of our customers have had great a year too, but lets see if you can cast your minds back to our March newsletter where we challenged you all to “Go Green in 2017” with paperless solutions for your documents and payslips, updated you all about the latest in the governments plans to “Make Tax Digital”, and offered you a chance to discover what’s new in Microsoft Dynamics NAV 2017. The newsletter also advertised our Zetadocs “How to to become paperless and achieve a fast ROI” seminar, which can be viewed in full by clicking here.
In July we promised you all “Safe and Secure Summer Holidays”, due to a rise in high-profile hacks, server failures and ransomware attacks, Profile took the initiative to offer our customers free of charge hardware audits to ensure that you were protected and safe from anything that could go wrong with your system. We also offered loads of free security advice for protection against ransomware, and a plethora of other things that you could do in your business to make sure your defences, backups and disaster recovery were up to scratch. In July we also met one of our Profile Engineers Perry Quigg, Perry had a lot to say about the importance of a good backup in any system. Finally, any of our customers still running Exchange Server 2007 or Windows Vista were informed that those products would no longer be supported, so it’s time to upgrade!
September was all about new legislative changes and ensuring that our customers “Don’t Get Leaved Behind” (it was also a great time for bad puns!), it gave us an opportunity to share in more detail all that we know about the General Data Protection Regulation legislation with a really handy “Who, What, When and Why” guide that broke GDPR down for easy digestion. We also announced that mainstream support for Microsoft Dynamics NAV 2013 R2 was ending in January 2018, joining NAV 2009 R2, for which support ended in 2015. Finally, we introduced our partner Halo Corporate Finance as a way to split the cost of your orders and finance our products.

We re-iterated once again the importance of upgrading from the outdated Pegasus Opera II to Opera 3 with all its new functionality and support for “Making Tax Digital” and GDPR and announced that Profile’s development team were hard at work testing Opera 3 SQL Server Edition as a part of the Partner Evaluation Program. Finally, we introduced our partner Halo Corporate Finance as a way to split the cost of your orders and finance our products.

Pegasus Business Update Seminars – Photos and Recap
Thank you to all of our customers who were able to attend our Pegasus Business Update Seminars in the last few weeks! Steve Powers, Product Specialist at Pegasus Software was on hand to share a staggering amount of information regarding new legislative changes coming in 2018 and 2019, “Making Tax Digital” and GDPR, as well as the latest in the world of Opera 3. Everyone who attended that we spoke to said they found the event very informative and gave them a lot to think about, especially those who still use Opera II in their business as Steve gave the definitive announcement from Pegasus that Opera II will not be updated to reflect any new changes in legislation. One customer said: “I found it really helpful. So often seminars do not contain enough detailed information and are light on content, but this was really packed in and well worth my morning out of the office.”
The event was a fantastic opportunity for our customers to pick the brains of our Pegasus Account Management team, and Steve’s extensive knowledge of Pegasus products was inaluable in answering your most pressing questions. We would like to give a huge thanks to Steve and the team for all their hard work!
